What this service is

D3 Networks LLC operates a customized bookkeeping automation system (the “system”) for its authorized client organizations. With a client's explicit authorization, the system connects to that client's QuickBooks Online companies through Intuit's official API to help with bookkeeping tasks: answering questions about the books, researching unrecognized merchant charges, and preparing journal entries for the client's review. It is not a consumer product, is not listed on the QuickBooks App Store, and is not available to the general public.

Information we access

When a client authorizes a company through Intuit's OAuth consent flow, the system can read that company's QuickBooks Online accounting data — such as the chart of accounts, transactions, vendors, and journal entries. We also process the messages clients send to the system through their approved channels (WhatsApp via Twilio, and email from allowlisted senders).

How we use it

Accounting data is read from QuickBooks Online at the time of each request to answer a client's questions. To help categorize an unrecognized charge, the merchant descriptor text (the often-cryptic name on a card statement line) may be sent to a web-search service to identify the merchant; amounts, account names, balances, and the identity of the company involved are never included in those searches. Changes to the books, such as journal entries or expense categorizations, are made only after the client has reviewed and explicitly approved each proposed change.

What we store

We store the OAuth tokens issued by Intuit (encrypted, on secured, dedicated infrastructure we control), bookkeeping rules the client has approved (for example, which expense account a recurring merchant maps to), and conversation history needed to provide continuity of service. We do not copy or warehouse a client's ledger: balances, transactions, and other financial records remain in QuickBooks Online and are read live when needed.

Sharing

We do not sell, rent, or share data with third parties for their own purposes. Data is processed only by the service providers necessary to operate the system — hosting, messaging, AI processing, and web search — under their confidentiality and data-protection terms, and only to the extent needed to provide the service.

Security

All connections use TLS. Secrets and tokens are stored on an encrypted volume on dedicated infrastructure we control. Interaction with the system is limited to each client's approved contacts, and every change to the books requires that client's explicit approval before it is made.

Revoking access and deletion

A client may disconnect any company at any time from Intuit's connected-apps settings, which invalidates the system's access to that company. On request, we will delete stored tokens, learned rules, and conversation history. Contact admin@d3networks.net.
